These booking conditions apply to all travelers and travel agents who make bookings or confirm reservations through the Eastern Europe Tour (EET) online platform. Please read these terms carefully before confirming your booking.
1. Definitions
Traveler”refers to the individual or group making a booking for travel services on the EET platform.
Travel Agent” refers to a third-party agency or intermediary making bookings on behalf of clients through the EET platform.
Supplier”refers to the third-party providers of travel services such as accommodation, transportation, or activities.
Booking”refers to any travel package, activity, or service booked through the EET platform.
2. General Terms for All Bookings
Acceptance of Booking Conditions:
By making a booking with EET, you confirm that you have read, understood, and agree to the following conditions. These terms apply to all travelers and travel agents.
Age Requirements:
Travelers must be at least 18 years old to make a booking independently.
For travelers under 18, bookings must be made by a parent or legal guardian. Some tours have specific age limits, which will be communicated during booking.
Accuracy of Information:
All information provided at the time of booking, including but not limited to passport details, travel preferences, and contact information, must be accurate. EET is not responsible for any issues arising from incorrect or incomplete information.
3. Booking Process
Booking Confirmation:
- A booking is confirmed once the traveler or travel agent receives a booking confirmation email from EET. EET will also issue an invoice detailing all booked services.
- Travelers and agents are responsible for reviewing the booking details and notifying EET immediately of any errors.
Deposit & Payment:
A deposit is required to confirm your booking (as specified in the Payment Policy). Final payment is due no later than 45 days before departure unless otherwise stated. Late payment may result in the cancellation of the booking and forfeiture of the deposit.
4. Booking Conditions for Travelers
Passport and Visa Requirements:
It is the traveler’s responsibility to ensure their passport is valid for at least six months beyond the return date and that they have obtained all necessary visas and permits for travel. EET is not liable for any losses due to improper documentation.
Travel Insurance:
Comprehensive travel insurance is mandatory for all travelers. This should cover trip cancellations, medical expenses, emergency evacuation, personal liability, and loss of baggage. Travelers are responsible for ensuring that their insurance policy covers all aspects of the trip.
Special Requests:
Any special requests (e.g., dietary requirements, room preferences, medical conditions) must be communicated at the time of booking. EET will make reasonable efforts to accommodate these requests but cannot guarantee them.
Changes to Bookings:
Travelers can request changes to their booking up to 30 days before departure. All changes are subject to availability and may incur amendment fees as outlined in the Cancellation Policy.
Cancellations by Traveler:
Cancellations by the traveler are subject to the terms outlined in the Cancellation Policy, including applicable non-refundable deposits and cancellation fees. Cancellations must be made in writing (email or via the EET platform).
5. Booking Conditions for Travel Agents
Agent Responsibilities:
Travel agents are responsible for:
Providing accurate information on behalf of their clients.
Managing all communications between EET and the traveler unless otherwise specified.
Ensuring that clients are aware of and comply with all terms and conditions set out by EET.
Client Payments:
Agents are responsible for collecting payments from their clients and remitting the full amount due to EET within the specified time frame. Agents who fail to make payments by the due date risk cancellation of the booking.
Booking Modifications:
Any changes to a booking made by a travel agent on behalf of a client must be communicated to EET immediately. Changes are subject to availability and any applicable amendment fees.
Cancellations:
Agents must handle cancellations on behalf of their clients and ensure they follow the cancellation terms as outlined in the **Cancellation Policy**. Refunds will be processed according to the same rules that apply to individual travelers.
6. Prices, Fees, and Taxes
Price Inclusions:
EET package prices include only the services expressly stated at the time of booking (e.g., accommodation, activities, transportation). Any additional services not mentioned are the traveler’s or agent’s responsibility to arrange and pay for.
Price Exclusions:
Prices do not include personal expenses, optional activities, meals not mentioned in the itinerary, visa fees, or travel insurance. Any mandatory local taxes, environmental fees, or resort charges are also excluded unless specifically stated.
Price Adjustments:
EET reserves the right to adjust package prices in response to fluctuations in currency exchange rates, fuel surcharges, taxes, or other operational costs. Travelers and agents will be notified of any price changes before final payment.
7. Changes or Cancellations by EET
Operational Changes:
EET reserves the right to make changes to itineraries, activities, and accommodations if required due to operational reasons, including but not limited to natural disasters, political instability, or availability. These changes will be communicated as early as possible.
Cancellations by EET:
In the unlikely event that EET needs to cancel a booking, travelers and agents will be offered an alternative package or a full refund (excluding any non-refundable third-party services such as flights). EET will not be responsible for any additional costs incurred, such as travel insurance or visa fees.
8. Travel Documents
Issuance of Travel Documents:
Final travel documents (including e-tickets, vouchers, and itineraries) will be issued only after full payment has been received. Documents are typically provided 14-30 days prior to departure.
Document Accuracy:
It is the responsibility of travelers and agents to review all travel documents for accuracy. Any discrepancies should be reported to EET immediately.
9. Liability and Responsibility
Supplier Responsibility:
While EET partners with trusted suppliers to provide high-quality services, we act only as an intermediary and are not liable for any actions, omissions, or defaults of suppliers. Any complaints regarding suppliers should be directed to them with EET’s assistance.
EET Liability:
EET is not responsible for any loss, damage, or delay caused by circumstances beyond its control, including but not limited to natural disasters, strikes, civil unrest, or force majeure events. Our liability is limited to the price paid for the booked package.
Health and Safety:
Travelers are responsible for assessing their ability to participate in certain activities. Some tours may require a level of physical fitness. It is the traveler’s or agent’s responsibility to disclose any medical conditions at the time of booking.
10. Disputes and Complaints
Dispute Resolution:
In the event of any disputes, EET encourages travelers and agents to contact our customer service team for resolution. If a mutual agreement cannot be reached, disputes will be settled in accordance with the laws and regulations of **[Insert Jurisdiction]**.
Complaints During Travel:
Any complaints during travel should be reported immediately to the tour leader, local representative, or EET customer service. EET will make reasonable efforts to resolve issues on the spot.
